South Wing booking terms and conditions
Contract
The contract is for a short-term holiday rental of the property specified on the booking form made between the individual placing the booking (the "lead booker" and also referred to in this document as ‘you’ and ‘yours’) and the owners of South Wing ("the owners") binding from such time that booking is made and inclusive of all the following conditions. By making a booking the lead booker contracts on behalf of himself / herself. Any persons nominated by the lead booker may also stay in the house provided that they comply with these terms of occupancy/use.
Bookings are accepted on the understanding that the property is taken for holiday purposes only and that, excepting babies, the number of people in each property is limited to that entered on the booking form.
The lead booker and any friends or family of the lead booker visiting South Wing while the lead booker is staying there must adhere to the conditions of the contract, including the rules and procedures contained in the information folder provided in the property. If inviting friends to visit the lead booker must first seek the permission of the owners.
When you submit a booking via our online reservation system you will receive an automatically generated booking summary by email to the email address, you provide in the booking form. This does not form a contract between us. A contract shall only arise when you pay the deposit and should be within 48 hours of submitting your booking.
Payment
A deposit of 25% of the cost is payable on booking if the booking is made more than eight weeks before the start of the rental. Please note that the deposit includes a non-refundable booking fee equivalent to 7% of the total booking price.
If the booking is made less than eight weeks prior to the start of the rental then the full cost is due immediately. Bookings are provisional until a deposit is received and are held for 48 hours. The balance shall be payable eight weeks before the commencement of the rental. Non-payment of the balance of the rent on or after the due date may be construed as a cancellation of the contract by the lead booker.
Cancellation
Bookings placed after 24th June 2020 and before the 5th January 2021 are covered under a different set of Terms and Conditions and are available by emailing [email protected] if these apply to the lead bookers booking.
For Bookings placed post January 5th 2021 these new Terms and Conditions apply to cancellations.
a/ If your booking has to be cancelled because South Wing is put under Government Restrictions and has to close and the period of closure covers your booking You will be offered the choice of an alternative date or refunded in full.
b/ In the event that your given address is put into Local/Regional Lockdown, rendering you unable to travel, and the period of restriction covers your booking You will be offered the choice of an alternative date or refunded in full.
c/ If your booking has to be cancelled because the owners have to close through Force Majeure, meaning any of the following circumstances which may hinder or prevent the performance by the owners of the Contract, including but not limited to: (a) acts of God, flood, drought, earthquake or other natural disaster; (b) epidemic or pandemic; (c) terrorist attack, civil war, civil commotion or riots, war, threat of or preparation for war, armed conflict, imposition of sanctions, embargo, or breaking off of diplomatic relations; (d) nuclear, chemical or biological contamination or sonic boom; (e) any law or any action taken by a government or public authority, including without limitation imposing a restriction, prohibition, or failing to grant a necessary licence or consent; (f) collapse of buildings, fire, explosion or accident; (g) non-performance by our suppliers or contractors; and (i) failure of utility service, and the period of closure covers Your booking You will be offered the choice of an alternative date or refunded in full.
d/ Customer inability (or the inability of any, some or all of the lead bookers intended party) or disinclination to travel to and stay at South Wing for any reason.
This includes – but is not limited to – illness (including Covid), a requirement or recommendation to self-isolate or quarantine, shielding, a call to jury duty, military service, incarceration, change in personal or work circumstances, family emergencies, travel delays, vehicle breakdown, and delays with public transport. These remain at the lead bookers risk and do not give rise to a right to cancel or to receive a refund unless the owner re-lets the property, other than according to the sliding scale below. The lead booker is strongly recommended to take out UK travel insurance to cover these eventualities. If the lead booker chooses not to take out UK travel insurance, then they accept responsibility for any loss that they may incur due to their cancellation.
e/ Cancellations must be notified to the owners by phone and email and once received in writing the owners will confirm the cancellation request.
f/ The owners will apply the scale shown in the table below to bookings to determine the amount of the charge, which shall be a percentage of the total cost of the holiday.

*In order to ensure speedy receipt, and thereby processing, of cancellations, South Wing recommends that the lead booker sends written notification of cancellation by email requesting confirmed receipt. The effective date of cancellation is when written notification is received by the owners. Any amounts due for refunding will be made within 14 Days.
g/ On receipt of the cancellation, the above Charts state the amount that the lead booker remains liable for at that point in time. The owners will then use reasonable endeavours to obtain a replacement booking. If the owners are successful in obtaining a replacement booking, the owners will refund to the lead booker the total amount paid by the the lead booker for the booking less the 7% Booking Fee and less the difference in price between the lead bookers booking and the replacement booking if one is made.
For example: A £1000 booking, fully paid, cancelled, and relet for £900, means that the original Customer will be refunded as follows, £1000 – 7% booking fee equals £930, – £100 rebooking shortfall, = Refund of £830.
h/ It is the responsibility of the lead bookerr to acquire suitable travel insurance for themselves and their party to cover the booking. The owners strongly recommends that the Customer acquires suitable insurance to cover circumstances beyond the lead owners control such as, but not limited to, jury duty, incarceration, change in personal or work circumstances, military service, illness – including Covid and shielding, family emergencies and travel delays.
Covid is also now a known risk and it is possible for you to insure your holiday against it. This can include the lead booker or any of the party having Covid, the lead booker or any of the party having to isolate or quarantine, or the lead booker wishing to shield any Members of the party.
Period of Hire
Rentals for South Wing commence at 4.00 pm on the day of arrival and terminate at 10.00am on the day of departure.
Right of Entry
Whilst respecting the reasonable privacy of the lead booker, the owners of South Wing reserve the right to access all properties at all times, if necessary, for repairs and emergencies.
Care of the Property
The lead booker shall take all reasonable and proper care of South Wing and its furniture, pictures, fittings and effects in or on the property and leave them in the same state of repair, condition, cleanliness and tidiness as at the commencement of the rental period.
Breakages or Damage
The lead booker is required to inform the owner of any damage or breakage in or around the South Wing promptly so that it can be repaired and replaced for the next lead booker. The lead booker is bound to reimburse the owners for replacement, repair or extra cleaning costs where reasonably demanded by the owners for damage caused by the lead booker.
Rules and Procedures
Lead bookers are required to observe the rules and familiarise themselves with the procedures contained in the information folder provided in the property and also sent to lead bookers by email prior to arrival.
Smoking
Smoking is not permitted anywhere inside South Wing, near to buildings or in the courtyard area.
Pets
We welcome well behaved dogs at South Wing! Please note that they are not permitted upstairs or on the furniture and must not be left unattended in the house at any time. When outside at South Wing dogs must be under the control of a responsible adult at all times. The lead booker must clear up after dogs promptly, whether in the garden or out on a lead on the estate and dispose of bagged waste in an exterior bin. The lead booker is responsible for any damage howsoever caused by their pet and liable to reimburse the owner for any replacement or repair thereby necessitated. The owners reserve the right to terminate the contract if the behaviour of the lead booker's pet is considered unacceptable.
Liability
The owners of South Wing are not liable for any loss or damage to any lead booker's property or any property belonging to a member of the lead booker's party howsoever caused. The lead booker or members of his/her party cannot hold the owners of South Wing liable for any personal injury/death howsoever sustained where the owners and/or their employees have used reasonable skill and care; and/or where caused by the fault of the person(s) affected or any member(s) of their party (including inadequate supervision of children); and/or where caused by the fault of a third party, and/or where caused by an event that could not have been reasonably foreseen or avoided.
